Automatic Associations for Activities
Default activity associations decide which related records an activity shows up on. For example, an email you send from a contact can also appear on that contact's company and their open opportunity, so everyone sees the full history.
This feature is rolling out gradually, so you may not see it in your account yet.
How the rules work
Rules depend on where the activity starts:
- Contact: activities started from a contact follow the contact rules.
- Opportunity: activities started from an opportunity follow the opportunity rules.
- Company: activities started from a company follow the company rules, even if the message goes to a contact.
- Custom object: activities started from a custom object record follow that object's rules.
Example: with the default contact rules, an email sent from a contact also appears on the contact's primary company and their most recently associated open opportunity.
Set up your rules
- Go to Settings > Objects.
- Open the object you want to configure, such as Contact or Opportunity.
- Open the Activity associations settings.
- Choose which related records should also receive activities, such as the primary company or the latest open opportunity.
- Save.
Good to know
- Rules apply to new activities only. Past activities don't move.
- Activities include emails, calls, texts, notes, tasks, and appointments where supported.
- There are limits on how many records one activity can be linked to. You can still link more records by hand from the activity.
