Manage Users, Roles, and Permissions

User settings control who can get into your account and what each person can do.

Open users

Go to Settings > Users. You can search, add, edit, and remove users here.

Add a user

  1. Click + Add User.
  2. Enter their first and last name, login email, phone, and a password. You can also add a profile image.
  3. Set their role and permissions (see below).
  4. Optionally set call forwarding and voicemail for them.
  5. Save.
If the email already belongs to an existing user, follow the prompt to add that user instead of creating a duplicate.

Roles

  • Admin: full access to the account, including settings and other users.
  • User: access only to what you allow in their permissions.

Permissions

Under Roles & Permissions, turn features on or off for the user, such as Conversations, Contacts, Opportunities, Calendars, Payments, Marketing, and Settings. Some features have finer options, such as allowing a user to view but not delete contacts, or to export data.

Only Assigned Data

Turn on Only Assigned Data to limit a user to the contacts, conversations, and opportunities assigned to them. This is useful for sales reps who should only see their own leads.

Copy permissions

To set up several users the same way, open a user whose access is already right and copy their permissions to the new user.

Email change verification

If you change a user's login email, they may need to verify the new address before they can log in with it.

Remove a user

Open the user, click Delete, and choose who should take over their assigned contacts and opportunities.

Best practices

  • Give each person their own login. Don't share logins.
  • Give people only the access they need.
  • Review your users list regularly and remove people who've left.
