Client Portal Appointments: Book and Manage Meetings

Client Portal Appointments puts scheduling inside your Client Portal. Clients can book meetings and manage the ones they have without leaving the portal. Their details fill in automatically when they book.
Client Portal is included on the Unlimited and Plus plans. Appointments works in the new Client Portal layout.

What clients can do

  • See appointments under Today, Upcoming, and Past.
  • Find appointments by date in a calendar view.
  • Book a new appointment from one or more calendars you've enabled.
  • Review appointment details.
  • Reschedule or cancel appointments, where the calendar allows it.
  • Book again after a completed appointment.

Set it up

  1. Turn on the Appointments app. In your Client Portal settings, make sure the Appointments app is enabled and visible to clients.
  2. Choose which calendars clients can book. Open Calendars > Calendar settings, edit a calendar, and turn on booking from the Client Portal. Repeat for each calendar you want to offer.
  3. Check your calendar rules. Availability, buffers, minimum notice, and your reschedule and cancellation settings all apply to portal bookings too.
If no calendar is enabled for portal booking, clients can see their existing appointments but won't see a booking option.

How clients book

  1. The client opens Appointments in the portal and clicks Book.
  2. They pick a calendar if more than one is offered, then a date and time.
  3. They confirm. Their name, email, and phone are already filled in from their contact record.
The appointment shows up on your calendar and on the contact record like any other booking, and your usual confirmations and reminders go out.

Tips

  • Use clear calendar names, since clients see them when they book.
  • Give clients only the calendars meant for them, such as a check-in call or a support session.
