Enhanced Document Privacy and Access Controls

Files in a contact's Documents panel can be shared with links that you control. New links are private by default, and you choose when a link should be more open.
If you don't see these options, turn the feature on in Settings > Labs.

Link types

  • Private works only for people signed in to your account.
  • One-time passcode sends the recipient a code by email before they can open the file.
  • Password-protected asks for a password you set.
  • Public lets anyone with the link open the file. Use it only for non-sensitive files.

Share a file

  1. Open the contact and go to the Documents panel.
  2. Click the share option on the file.
  3. Choose the link type.
  4. Set an expiry date if the link should stop working.
  5. Choose whether the recipient can download the file or only view it.
  6. Copy the link and send it.

Access history

Open the file's details to see when it was shared, the link type, and who opened it. Use this to confirm a client received a document or to spot unexpected access.

Tips

For sensitive documents, use a passcode or password, a short expiry, and view-only access. You can change or turn off a link at any time from the file's details.
