Set Up a QR Code Check-In Campaign

A QR code check-in campaign links a printed or on-screen QR code to a form. Visitors scan it, fill in the form, and you get a record of their check-in.

Choose the right setup

  • Basic check-in: a form, a QR code and an optional workflow to record requests.
  • Offer redemption: your team checks identity, eligibility and past redemptions before approving an offer.
  • Event tickets: use the in-person Events check-in feature to validate unique tickets.
  • Checkout discounts: use Coupons when you need limits such as one use per customer.
A hidden form field, link parameter or tag on its own won't stop someone from redeeming twice.

Set it up

  1. Go to Sites > Forms and click + Create New Form.
  2. Use a blank form or a template. Ask only for the details you need, and label the submit button, for example Check In.
  3. Save and preview the form. Click Integrate to copy its direct link for testing.
  4. Go to Sites > QR Codes and click Create QR Code. Enter a name, choose Form as the type and select your check-in form.
  5. Click Save. Scan the code to make sure it opens the right form, then download it for your signs or materials.
  6. Go to Automation > Workflows, click Create Workflow and choose Start from Scratch.
  7. Add the Form Submitted trigger. Under Filters, choose Form Is, select your check-in form and click Save Trigger.
  8. Add an Add Contact Tag action with a clear tag, such as Check-In Requested. Optionally add Send Internal Notification to alert your team.
  9. Save and Publish the workflow. Submit a test response and check that it's recorded, tagged and that the notification arrives.

Review check-ins and record redemptions

A form submission means a request came in. It doesn't confirm the offer was valid.
  1. Go to Sites > Forms > Submissions, or open the form's Submissions tab, and find the response.
  2. Open the matching contact in Contacts. Check their identity, eligibility and any earlier redemption.
  3. If your team approves, record it separately, for example with a Redeemed tag.

Troubleshooting

  • QR code opens the wrong page: check the form selected in Sites > QR Codes, then scan again.
  • No response appears: submit a test through the form's direct link and check Submissions for the right form and date range.
  • No tag or notification: make sure the workflow is published, the Form Is filter matches your form, and the actions are set up.
  • Someone submits twice: a shared form accepts repeat submissions. Review both before approving an offer.
