Send Forms Through WhatsApp Flows

WhatsApp Flows let customers fill in a form right inside WhatsApp, without opening a web page. Connect one of your existing forms, and its supported fields become the WhatsApp experience. Use it for lead qualification, onboarding, feedback, registrations, and more.

Before you start

  • WhatsApp is connected to your account.
  • You have access to WhatsApp Flows, WhatsApp templates, and Forms.
  • You have permission to message the people you'll send it to.
  • The Flow is sent with a WhatsApp template, which Meta must approve first.

Fields that aren't included

Some form fields don't carry over to WhatsApp, even if they're required on your form:
  • Signature
  • Sell Products
  • Collect Payments
  • Rating
  • HTML
  • CAPTCHA
  • Source
  • Terms & Conditions
  • File Upload
A WhatsApp submission doesn't collect these. If you need a signature, agreement, or payment, collect it another way.

1. Start a Flow

  1. Go to Settings > WhatsApp > Flows and click + Create Flow.
  2. Choose Form submission and click Next.
  3. Give the Flow a clear name, like "Lead Qualification".

2. Choose a form

  1. Open Select form and choose your form.
  2. If a new form is missing, click Fetch new forms.
No form yet? Go to Sites > Forms, click + Create New Form, build and save it, then come back and select it.

3. Check the preview

  1. Review the questions in the Live preview.
  2. Make sure the questions you need are there.
  3. If something's wrong, edit the form, refresh the form list, and check again.
  4. Click Next.

4. Set up the template and publish

  1. Enter a template name, category, and language.
  2. Add a header if you like, your message, and an optional footer.
  3. Enter the Button text customers tap to open the form.
  4. Check the preview, then click Publish.
Publishing doesn't send anything yet. Wait for Meta to approve the template.

5. Send it

Test it on yourself or a colleague first.
One contact, from Conversations
  1. Open the contact's conversation and choose WhatsApp.
  2. Click Select a Template, choose the Flow's template, and click Send.
Automatically, from a workflow
  1. Go to Automation > Workflows and open or create a workflow.
  2. Set the trigger, then add a WhatsApp action.
  3. Choose the Flow's approved template and the sending number.
  4. Save the action, then publish the workflow.
Many contacts, with bulk actions
  1. Go to Contacts and select the contacts.
  2. Choose Send WhatsApp from the bulk action menu.
  3. Pick the WhatsApp number and the Flow's template, then send.

Where submissions go

Go to Sites > Forms > Submissions. WhatsApp submissions are saved against the form and matched to the right contact.

If you change the form

Editing the form doesn't change a Flow you've already published. New fields aren't added, edited questions keep their old wording, and removed fields stay in the Flow. Data you've already collected stays in your submissions. To send updated questions, publish a new Flow from the updated form and use its template.

Troubleshooting

| Problem | What to check | | --- | --- | | Fields missing from the preview | They may be unsupported. See the list above. | | Customer sees old questions | Check which published Flow the template uses. | | Can't publish | Fix the errors shown in the builder. | | Template won't send | Check it's approved by Meta and linked to the right Flow. | | Can't find a submission | Make sure the customer finished the last step, then check the right form. |
