Invoke Managed Agent Action

The Invoke Managed Agent action hands a task from your workflow to a published Managed Agent. The agent does the task using its instructions, tools, knowledge bases, and CRM access. Then the workflow continues and can use the agent's answer.
This keeps steps you can predict, such as triggers, waits, messages, and branches, in the workflow. The agent handles the parts that need judgment.

How it works

  1. A contact reaches the Invoke Managed Agent action.
  2. The workflow sends the contact, your instruction, any dynamic data, and attachments to the agent.
  3. The agent completes the task and returns its answer.
  4. The workflow moves on and can use that answer in later steps.

Prepare the agent

  1. Go to AI Agents > Agent Studio > Managed Agents and open the agent.
  2. Add the Invoked from a workflow trigger.
  3. Make sure the agent has the instructions, tools, knowledge base access, and CRM abilities the task needs.
  4. Test the agent, then publish it.
Only published agents with this trigger can be picked in the workflow.

Add the action

  1. In your workflow, click + and add Invoke Managed Agent.
  2. Pick the agent.
  3. Write the instruction. Say what the agent should do and what result you expect.
  4. Add custom values so the instruction changes for each contact.
  5. Attach any files the agent needs to review.
  6. Save the action.

Use the answer

Use the agent's answer in later steps to:
  • Update contact or other CRM records.
  • Pick which If/Else branch runs next.
  • Fill in content for a later message.
  • Pass information to another step.

Which AI option to use

| Option | Where the AI is set up | Use it when | | --- | --- | --- | | Invoke Managed Agent | Managed Agents in Agent Studio | You want to reuse an agent you manage in one place. | | AI Agent action | Inside the workflow | The AI step only belongs to this workflow. | | Invoke Agent Studio Agent | Flow-based agents in Agent Studio | You built a flow-based agent and want a workflow to call it. |

Tips

  • Only include the information the agent needs.
  • Ask for a short, clear answer if a later step needs to read it, such as one word for branching.
  • Test with a real contact and check the execution log before going live.
