Workflow Settings Overview
Workflow settings apply to the whole workflow, so you don't have to set them on every action. To open them, go to Automation > Workflows, open a workflow, and click the Settings tab.
Contact settings
Allow Re-entry
- On: a contact can enter again after they finish the workflow or are removed from it. Good for repeating processes.
- Off: a contact can go through the workflow only once.
Workflows with an appointment or invoice trigger always let a contact enter once for each appointment or invoice, whatever this setting says.
Allow Multiple Opportunities
For workflows with opportunity triggers, such as Pipeline Stage Changed:
- On: a contact with several opportunities enters once for each one. Each run is separate, so they may get messages for each opportunity.
- Off: the contact enters only for the first opportunity that matches.
It's on by default for new workflows. If an opportunity is updated while it's in the workflow, the workflow doesn't restart. It carries on using the updated details.
Stop on Response
- On: the workflow ends for a contact who replies to any message from this workflow. Other contacts aren't affected.
- Off: the contact stays in until the workflow ends.
Voicemail detection keeps a voicemail pickup from counting as a reply. See Stop on Response and Voicemail Detection.
Communication settings
Time zone
- Account time zone: timed steps, such as waits, follow your account's time zone.
- Contact time zone: timed steps follow each contact's own time zone, which suits national or global campaigns. Contacts without a time zone use the account time zone.
The setting applies to the whole workflow. If you change your account time zone, only new entries use the new one.
Time window
Turn on Specific Time to set a start time, end time, and days of the week. Messages and calls due outside the window wait until it opens. Internal actions, such as adding tags or updating fields, still run right away. The same hours apply to every day you pick.
Sender details
Set a default From Name, From Email, and From Number for messages from this workflow. You can still change the sender on a single email action.
Conversations: Mark as Read
Messages sent by a workflow normally mark the conversation as unread. Turn this on to keep conversations from this workflow marked as read.
