AI Email Parser Action

The AI Email Parser action reads an incoming email and pulls out the details you ask for, such as a name, email address, phone number, or message. Later steps can then use those details. For example, a lead alert email from a listing site can become a new contact and opportunity automatically.
The action only works in workflows that start with the Inbound Email trigger.

Step 1: Set up the trigger

  1. Go to Automation > Workflows and create a workflow.
  2. Click Add New Trigger and choose Inbound Email.
  3. Add filters so only the right emails start the workflow, such as Email Sent To Mailbox, Email Sent From, Subject, Body Plain Text, or Has Attachments. For example, use Body Plain Text contains "New Buyer Lead".
  4. Under Advanced Settings, turn on Trigger Only for New Email Conversations so replies in the same thread don't start it again.
  5. Click Save Trigger.

Step 2: Add and set up the parser

  1. Click + below the trigger and choose AI Email Parser under AI Actions.
  2. Under Email Content, choose what to read:
  3. Body: the latest message.
  4. Full Body: the whole reply thread.
  5. Custom Value: a value you pick instead of the email.
The subject line is included with Body and Full Body.
  1. In About This Email, describe the email in a short sentence, such as "New buyer lead notification from a real estate lead provider."
  2. Under Fields to Extract, pick a template: New Lead, Order Details, Inquiry, or Appointment.
  3. Adjust the fields, such as Name, Email, Phone, and Message. Set each field's data type and add a short description of what it should hold.
  4. Click Add Data to add more fields, then Save Action.

Step 3: Use or store the results

The parser doesn't save anything on its own. Its results are only available to later steps through the custom value picker. Add a step to use them, such as:
  • Create Contact or Update Contact Field: map each field to the right result.
  • Create/Update Opportunity.
  • Internal Notification or Send Email/SMS.

Tips

  • Test with a real sample email before publishing.
  • Write clear field descriptions so the AI knows exactly what to pull out.
