Associate Records Action

The Associate Records action finds records that match rules you set and links them to the record in the workflow. For example, you can link a buyer to matching properties, a company to an opportunity, or a contact to a custom object record, without doing it by hand.

Turn it on

Go to Settings > Labs and turn on Associate Records – Workflow Action.

Set up the action

  1. Create or open a contact, company, opportunity, or custom object workflow.
  2. Click + and choose Associate Records from the Associations group.
  3. Optionally give the action a clear name, such as "Link Buyer to Property."
  4. Choose the object to search, such as Companies, Opportunities, or a custom object. The list depends on the associations set up in your account.
  5. Add matching rules. Pick a field, an operator, and a value. The value can be fixed or a custom value from the record in the workflow. Click Add Field for more rules. A record must meet every rule.
  6. Choose what happens when several records match:
  7. Associate with All Matching Records
  8. Associate with the Earliest Created Record
  9. Associate with the Latest Created Record
  10. Pick the Association Label, such as Buyer, Seller, Client, or Vendor.
  11. Click Save Action and publish the workflow.

Check that it worked

After the workflow runs, open the record that started it and look at the Associations panel. The linked record shows under its object type.

Good to know

  • You need at least one matching rule, and an association label is required.
  • If nothing matches, no link is created and the workflow carries on.
