How to Set Up and Use Managed Agents

Managed Agents are AI assistants you create by describing the work in plain language. You don't need to build a flowchart. Each agent goes through Draft, Test, and Publish.
Plus includes Managed Agent runs in its AI Employee Growth allowance. On Essentials and Unlimited, Managed Agents are usage-based.

Before you start

  • Make sure your user role can access and manage Managed Agents.
  • Set up any knowledge bases, workflows, or calendars the agent will use.
  • Connect any channels or apps it needs, such as email or your Facebook Page for lead forms.

Create an agent

  1. Go to AI Agents > Agent Studio and open Managed Agents.
  2. Click Create Agent.
  3. Describe the agent's role and the work it should do.
  4. Review the instructions, triggers, and tools the builder sets up. Change anything that isn't right.

Add knowledge and tools

  • Knowledge: connect a knowledge base so the agent can look up your business information.
  • Apps and actions: let the agent send messages, update contacts, book appointments, or run workflows.
  • Custom skills: add reusable instructions for tasks the agent does often.

Add triggers

Choose what starts the agent, such as a schedule, a new contact, an opportunity change, a workflow step, or an API call.

Test and publish

  1. Use Test to run the agent with sample data.
  2. Check the results in the activity feed.
  3. Click Publish.
You can edit the draft at any time. Changes go live when you publish again.

Monitor

Open the agent's Activity to see each run, the steps it took, and any errors.
